Overall Responsibility
The Program Assistant is responsible for supporting the Programs Team (Director of Programs, Policy Advocacy and Communication Manager) with the planning, implementation and monitoring of OPHID project activities. Under the guidance of the Policy, Advocacy and Communication Manager, the Program Assistant will provide administrative and logistical support for projects associated with the FACE-HIV program, including the CSO Advocacy and Community Monitoring Project, and the Faith and Community Initiative.
The Program Assistant will support with writing routine reports and correspondence, as well as assist with the development of project materials. The Program Assistant will assist by maintaining calendars, receiving and composing communications as needed, and support with preparations, scheduling, logistics, and other various requirements for travel. He/She will assist with organizing meetings and events, as well as support monitoring program performance and documentation/filing for projects/program. With direction from Policy, Advocacy and Communication Manager, he/she will liaise and communicates with project consultants and field office staff. The Program Assistant may be assigned to support small research or design projects to support to one or more staff members in regards to project and programmatic efforts.
Main responsibilities
Provide administrative and logistical support for programs, including;
Maintaining calendars, receiving and composing communications as needed,
Preparations, scheduling, logistics, and other various requirements for travel (field visits)
Assist with organizing, managing and minuting meetings and events
Maintain central level program filing system
Provide technical support to Provincial offices to establish and maintain efficient filing system
Support preparation with project related requisitions
Coordinate and follow-up with procurement team on requested items (confirming specs, reviewing proofs, etc)
Program Planning and Review
Assist in the preparation of the project workplans
Support collation and review of performance management tools
Support district offices with stakeholder mapping
Coordinate and maintain contact list for programs-including provincial and district lists
Assist with the design development and review of project/program reports, website and other organizational materials.
Prepare program documentation that is accessible and user friendly plus supporting translation into local languages.
Review of district reports
Support with preparation of program visibility materials e.g. Brochures t-shirts, pamphlets and newsletters for World Health Days
Support with the development of social media content (i.e website, twitter..etc)
Perform any other duties assigned
Requirements
Completed relevant Bachelor’s Degree
Previous experience working with community-based organizations, faith-based organizations, youth-based organizations, or volunteer associations
Experience with programs focused on HIV/ TB Care and Treatment and/or Sexual and Reproductive Health
Passionate about Children’s Rights and Safeguarding
Experience working in NGO environment
