The Virtual Procurement Specialist will be responsible for managing the end-to-end procurement lifecycle for goods and services in a fully remote environment. This role requires a strategic thinker with strong analytical skills, exceptional negotiation abilities, and proficiency in digital procurement tools. The ideal candidate will ensure cost-effectiveness, supply chain reliability, and compliance with company policies while working collaboratively with internal stakeholders across various time zones.
Identify, evaluate, and onboard new suppliers and vendors aligned with company needs for categories including (but not limited to) software/SaaS, marketing services, professional consulting, IT hardware, and office supplies.
Conduct thorough market research, RFPs, RFQs, and supplier evaluations to secure optimal quality, cost, and terms.
Build and maintain strong, collaborative relationships with key suppliers through regular virtual meetings and performance reviews.
Negotiate contracts, pricing, service level agreements (SLAs), and terms & conditions to achieve significant cost savings and mitigate risk.
Manage the entire purchase-to-pay (P2P) cycle electronically: from requisition and purchase order creation to delivery confirmation and invoice processing.
Ensure all procurement activities comply with internal financial policies and controls.
Maintain accurate and organized digital records of contracts, purchase orders, and supplier communications.
Collaborate with finance to ensure accurate budgeting, timely payments, and reconciliation of procurement spend.
Analyze spending patterns and identify opportunities for consolidation, cost reduction, and process improvement.
Track and report on key procurement metrics (savings achieved, supplier performance, procurement cycle time)
Develop and implement strategies for sustainable and cost-effective procurement.
Serve as the primary virtual point of contact for internal teams regarding procurement needs, guidelines, and system usage.
Train and support colleagues on procurement processes and best practices in a remote setting.
Proactively communicate with stakeholders on order status, delays, or supply chain issues.
Minimum of 3 years of experience in a procurement, strategic sourcing, or buyer role, preferably in a remote or hybrid setting.
Proven experience in vendor management, contract negotiation, and cost-saving initiatives.
High proficiency with e-procurement software , ERP systems, and the Google Workspace/Microsoft 365 suite.
Exceptional communication, negotiation, and interpersonal skills, with proven ability to collaborate effectively in a fully virtual environment.
Strong analytical and financial skills with acute attention to detail.
Self-starter with excellent time-management and organizational skills, capable of working independently with minimal supervision.
