MUSASA invites sealed proposals from qualified and experienced car rental/hire companies to provide car rental/hire services for our organization.
Duties and Responsibilities
Scope of Services
The successful bidder will provide car rental/hire services to fulfil the transportation needs of our organization. The services will include:
• Sedans for urban project implementations
• Standard Toyota Hilux Double Cabs with Canopies
• Toyota Quantam
• 28-32 seater coasters
• 36 seater bus
• 60 seater bus
Qualifications and Experience
Requirements:
The bidder should meet the following requirements:
- Must be a registered car rental/hire company
- Must have a valid operating license
- Must have a minimum of 3 years of experience in the car rental/hire and familiar with NGO regulations and policies
- Must have a fleet of well-maintained vehicles that meet the requirements specified in this tender document
- Must have a proven track record of providing quality services to clients of similar size and scope
Technical Proposal:
The technical proposal should include the following information:
- Description of the bidder's organization and its experience in the car rental/hire industry
- Details of the bidder's fleet of vehicles, including the make, model, age, and condition of each vehicle
- Details of the bidder's maintenance and inspection procedures
- Details of the bidder's safety and security measures
- Any other relevant information that the bidder wishes to provide
Financial Proposal:
The financial proposal should include the following information:
- The proposed rental rates for the required vehicles, broken down by type of vehicle and rental period
- Any additional fees or charges that may apply
- Any discounts or special offers that the bidder wishes to provide

Submission of Proposals:
Interested bidders should submit their proposals in a sealed envelope clearly marked "Tender for Car Rental/Hire Services" to the following address with a non-refundable Administration fee of US$100:

The deadline for submission of proposals is 09 June 2023.
Evaluation Criteria:
Proposals will be evaluated based on the following criteria:
- Compliance with the requirements specified in this tender document
- Quality and suitability of the bidder's fleet of vehicles
- Quality and suitability of the bidder's maintenance and inspection procedures
- Quality and suitability of the bidder's safety and security measures
- Proposed rental rates and any additional fees or charges
- Any other relevant factors that the organization may consider
Contract Award
The contract will be awarded to the bidder that meets all the requirements and offers the best value for money. The organization reserves the right to reject any or all proposals without assigning any reason.
