Job Description

With over 20 years of experience, PSI/Zimbabwe now registered as Population Solutions for Health is looking for candidates who hold the requisite qualifications and experience to apply for the positions below.

Regional Administrative Assistant - Eastern Region - Mutare (Fulltime*1)
Reporting to the Regional Program Manager, the Administrative Assistant provides attentive and responsive administrative and logistical support to ensure effective and efficient operations in the region.

Duties and Responsibilities

Your Contribution – Key Responsibilities.
• Follows up, checks, corrects, and forwards the field teams per diems weekly and monthly
• Arranges all logistics for the Regional Program Manager
• Prepares online departmental services and commodities procurement requests (RQs)
• Prepares online requests to support procurement processes.
• Prepares finance related payment claims and reconciles accordingly
• Prepares all logistics, venue, budget, per diems and finance requests
• Prepares all material and stationery required for departmental events, that is, meetings and workshops
• Takes minutes in program meetings
• Quantifies and orders all non-medical supplies for the program i.e., stationery and groceries
• Maintains stock management system for non-medical supplies
• Facilitates distribution of non-medical supplies
• Manages a push-pull system of all non-medical supplies
• Participates in supplies audits for medical and non-medical supplies
• Carries out stock takes for non-medical supplies
• Compiles and facilitates VMMC MOU and other contracts renewal
• Maintains all programs contracts database
• Supports other departments with departmental contracts for their activities, e.g., payments
• Monitors and tracks departmental contractual payments with the Procurement and Finance departments
• Prepares weekly payments updates for the programs management team
• Follows up and advises field teams on remittances done
• Participates in data quality audits
• Maintains the programs electronic data filing system

Qualifications and Experience

What Are We Looking For?
• Highly confident, dynamic, and flexible individual willing to execute a broad range of tasks from administrative and logistical support to program related activities.
• 5 “O” Levels passes including Mathematics and English
• Diploma in Secretarial studies
• Extensive computers and office management skills
• Program assistance and coordination experience in the NGO, private and public sectors.
• 3 years working experience
