Job Description

The position, which reports to the Administration Manager, is responsible for administering and supervising the Company's central registry and records system by controlling and monitoring the communication budget in order to maintain uniform practices and procedures in the maintenance, usage, storage, retrieval and disposal of information. The job includes the following among otherduties:

• Maintains and stores Company records, controls retrieval of records as per Records Management Policy and tracks return of same.
• Identifies vital records categories and develops relevant protection strategies by ensuring offsite storage of duplicate copies.
• Develops and maintains the Company's records retention schedule for systematic disposal of outdated records in accordance with the Company's life cycle procedure and retention of permanent value records.
• Ensures reliability and efficiency of ZESA Holdings Switchboard through monitoring user and customer complaints and maintains liaison with Telecommunications Division on any technical problems experienced.
• Maintains Company cell phone register to ensure replacement and or allocation is done in accordance with Company policy.
• Liaises with mobile phone service providers on bill payment, procurement of airtime and general service provision.
• Supervises subordinate staff and provides relevant on-the-job training.

Qualifications and Experience

Qualifications
• A Degree in Records Management or equivalent
• At least 5 years relevant post graduate experience
• Membership of a recognised professional institution
Special Skills
• Strong interpersonal skills and good customer service
• Knowledge of document control software, SharePoint, etc
• Ability to prioritise, manage time well, multitask and troubleshoot.
