Receptionist/Cum HR Intern Wanted

Duties and Responsibilities

Responsibilities
➢ Act as a first point of contact for the organisation dealing with security provision stakeholders
➢ Meet and welcome guests and direct to the appropriate persons and office
➢ Answer, screen and forward incoming phone calls
➢ Receive, sort and distribute daily mail/deliveries
➢ Maintain office security by following safety procedures and controlling access via the reception desk. (monitor visitor)
➢ Update calendars and schedule meetings for Staff and Line Managers
➢ Keep updated records of office expenses and costs
➢ Perform other clerical receptionist duties such as filling, photocopying, minuting and faxing as directed.
➢ Maintaining the accuracy of employee files
➢ Responding to staff inquiries regarding HR policies, employee benefit and other HR-related matters.
➢ Assisting in planning company events.
➢ Provide a professional first class customer focused reception service.
➢ Responding proactively to queries via email, telephone and face to face.
➢ Excellent customer service skills, high levels of initiative and attention to detail and the ability to effectively multi-task are essential elements of this role.
➢ To receive and advise visitors, clients and staff in a professional courteous and helpful manner.
➢ To respond to and take ownership of calls from both internal and external customers in a timely, efficient and courteous manner.

Qualifications and Experience

Qualifications
➢ 5 O’ Levels including English Language
➢ Certificate or Diploma in Office Administration/Secretarial Studies/Human Resources or Receptionist from a recognized College or University.
➢ 2 years proven work experience as a receptionist, front office representative or similar role with excellent organizational skills.
➢ Proficiency in Microsoft Office and hands on experience with receptionist duties.
➢ Excellent organizational and time management skills, with the ability to prioritize tasks.
➢ Hands-on experience with office equipment (e.g fax machines; computers and printers)
➢ Solid written and verbal communication skills backed by a good command in English Language.
