Vacancy: Receptionist – Harare
Ultra-Med Health Medical Aid Society is a dynamic and growing medical aid society committed to providing accessible, affordable, and quality healthcare financing solutions. We are seeking a professional, customer-focused, and highly organized Receptionist to join our Harare office.
Job Summary
The Receptionist serves as the first point of contact for members, clients, service providers, and visitors. The successful candidate will be responsible for creating a welcoming environment while efficiently managing front office operations and providing administrative support to ensure the smooth running of the office.
Key Responsibilities
• Welcome and assist members, clients, visitors, and service providers in a professional and courteous manner.
• Answer, screen, and direct incoming telephone calls promptly and professionally.
• Receive, sort, and distribute incoming mail, emails, and other correspondence.
• Maintain a clean, organized, and professional reception area at all times.
• Schedule appointments, meetings, and manage office calendars.
• Provide administrative support to various departments, including filing, data entry, scanning, and document management.
• Assist with receiving and directing member enquiries to the appropriate departments.
• Maintain visitor records and ensure adherence to office procedures.
• Coordinate courier services and manage outgoing correspondence.
• Monitor and replenish office stationery and reception supplies.
• Perform any other duties assigned by management.
Qualifications and Experience
• A minimum of 5 O-Level passes, including English Language.
• A Diploma or Certificate in Secretarial Studies, Office Administration, Business Administration, or a related field will be an added advantage.
• At least one (1) year of experience in a receptionist, customer service, or front office role is an added advantage.
• Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
• Experience working with office equipment such as printers, scanners, and telephone systems.
