Receptionist and Administration Assistant: Bantwana Zimbabwe

Introduction
Bantwana Zimbabwe seeks a Receptionist and Administration Assistant to be based in Harare to serve as a first point of contact for staff and visitors, either by telephone or face to face. To provide reception and administrative services to support effective programme delivery by the field office.

Duties and Responsibilities

Major Responsibilities
Reception Responsibilities: Receiving, attending, and directing visitors, clients and service providers; Receiving, logging and timely dispatching of mail / messages to respective recipients while ensuring confidentiality throughout the process; Maintain, monitor the telephone tracking system and provide reports as needed; Assist to coordinate bookings, the daily use of the boardrooms and meeting rooms and ensure that refreshments are served at meetings.
Admin Responsibilities: Filing and maintaining up to date admin records (electronic and hard copies); Maintains stock of stationery, office supplies and consumables for the photocopier, printers and prepare monthly expenditure reports for the HR & Admin Officer; Assists with staff travel arrangements as requested specifically booking of tickets and hotel accommodation; Taking minutes during staff meetings / workshops, and other documentation as requested; Supervising the office support staff (Cleaners) and ensuring a clean and healthy working environment; Coordinate logistics for members of staff and visitors who will be travelling on official trips; Undertake regular checks of office premises to ensure that facilities such as fire equipment, water and electricity cabling are in good working order, and take action to address this where necessary; Ensure timely and cost effective maintenance of the office properties and facilities i.e equipment, vehicles, furniture, generators; Ensuring that quality work is obtained from technical works carried out by contractors; Prepare payments vouchers for office vendors on office supplies, rates & water, electricity, telephone, newsprint circulation; Ensure that goods, materials and equipment purchased meet the highest standards as required by BZ; Any other duties assigned by the HR & Admin Officer.

Qualifications and Experience

Qualifications and Education Requirements
Diploma in Secretarial/ Administration Studies or equivalent qualification. A relevant degree will be an added advantage; Computer literacy and proficiency in MS Office, email and internet; A minimum of 2 years’ professional experience in a similar position; Good verbal and written communication skills; Strong organizational skills and ability to multitask; Ability to think critically and creatively; Excellent interpersonal skills and able to deal with visitors and staff with tact and courtesy; Must be capable of working both individually and as part of a team; Ability to work effectively in a fast-paced environment; Must be flexible, willing to perform other duties and work with irregular hours; Fluency in English and Shona.
