Job Description

As a Receptionist, you will be the brand ambassador of the company’s first impressions of the guests and visitors. It will be your foremost responsibility to compassionately greet all incoming guests, visitors, and members and help them with directions or any appropriate information that they need while maintaining a high level of composure and customer service excellence. You will be required to professionally answer phone calls in a polite manner and forward calls to the respective departments. Also, you will need to perform various front desk duties including filing, handling, and re-directing mails.

Duties and Responsibilities

• Proficiently operates the switchboard at the front office desk.
• Greeting visitors, helping them navigate through an office, and supplying them with refreshments as they wait.
• Receives and directs telephone calls and visitors to relevant offices
• Receives and signs for incoming mail and parcels and sends out mail.
• Makes external calls on request from other staff members
• Maintains and updates the Establishment Register/Contacts Book in liaison with the Compliance Inspector
• Receives reports of malfunctioning office equipment and telephone and reports to service providers
• Liaises with Accounts for payment of service providers
• Operates photocopying, scanning, laminating and binding machines
• Ensures general cleanliness of the front office
• Types correspondences and other documents as directed by superiors
• Staff meeting minute taking
• Receives and receipts levies and other monies and handover to the Accountant on the date of receipt

Qualifications and Experience

EXPERIENCE
• At least one year experience in a similar position

SKILLS & ABILITIES
• Ability to build positive relationships with a high level of professionalism and interpersonal skills
• Excellent talent to interact with people in a positive and courteous manner
• Strong written and verbal communication skills
• Ability to prioritize tasks according to importance in a fast-paced environment
• Multi-tasking capability without compromising on quality and effectiveness
• Must be proficient in handling office equipment including complex multiple lined telephones, printers, photocopy machines, laminating machines, etc.
• Dependable, punctual, and able to work flexible working hours
• Basic knowledge of Microsoft Office applications, specifically MS Word and Excel.

EDUCATION
• 5 Ordinary Levels
• National Certificate in Secretarial Studies or equivalent
• A Diploma in Secretarial Studies is an added advantage
