Reporting to the Deputy Director

Duties and Responsibilities

Duties
• Ensure that all procurement processes are in accordance with the organisations policy.
• Source and receive quotations for procurement and submit to the Procurement Committee
• Follow up with Procurement Committee on final selection documents.
• Initiate documents for engagement of service /goods providers and submit to the Procurement Chairperson for finalisation.
• Submit requests for authorised work to finance for processing.
• Produce and continuously update the annual procurement plan.
• Produce and continuously update the procurement tracker.
• Ensure the organization has an annual suppliers list by 31 Jan of each year.
• Follow up on all procured goods and services until delivered.
• Develop a Risk Register that is specific to the procurement of goods and services.
• Develop guidelines for the assessment of performance of suppliers and service providers.
• Lead the assessment of performance of suppliers and service providers on a biannual basis.
• Assist in the organisation’s preparations for audits on procurement related matters.
• Maintain procurement documents and files.
• Performs other related duties as required and assigned by the supervisor.

Qualifications and Experience

A minimum qualification of a first degree in Procurement or equivalent professional qualification.

Required Skills and Experience:
a. A Minimum of 3 – 4 years’ NGO experience in Procurement
b. Ability to speak fluent English.
c. Proficient in the use of Microsoft applications
d. Basic analytical and statistical skills
e. Strong problem solving, analytical and operational abilities.
f. Excellent planning; organizational and time management skills
g. Ability to maintain confidentiality.
h. Good knowledge of procurement standards and best practises
i. Excellent interpersonal written and oral communication and presentation skills
j. Ability to work with minimum supervision.
