FUNCTIONAL TITLE: Procurement Clerk

PROCUREMENT CLERK - LIBRARY (1 Post)

Duties and Responsibilities

Duties and Responsibilities
• Sourcing quotations from suppliers.
• Preparing comparative schedules and raising purchase orders.
• Sending Purchase Orders to suppliers and following up on purchases.
• Payments scheduling.
• Facilitation of receipt and verification of goods.
• Maintaining procurement records.
• Liaising with Managers on Library procurement activities.
• Reviewing requisition orders in order to verify accuracy, terminology, and specifications.
• Tracking the status of requisitions, contracts, and orders.
• Carrying out monthly stock takes.
• Issuing materials to relevant Library Divisions to ensure smooth flow of Library activities.
• Any other duties as may be assigned by the Librarian.

Qualifications and Experience

QUALIFICATIONS
1. Diploma in Purchasing and Supply or Supply Chain Management or equivalent.
2. Candidates should be computer literate. Knowledge of computer packages such as Pastel, SAGE Evolution is an added advantage.
