Procurement Assistant: Pangaea Zimbabwe AIDS Trust (PZAT)

Pangaea Zimbabwe AIDS Trust (PZAT) is an independent Zimbabwean entity registered as a local Trust in August of 2012 (MA/909/2012). PZAT strives to transform the lives of people living with and affected by HIV by working to ensure their access to comprehensive HIV and sexual health services delivered in safe and supportive environments. PZAT has led and engaged in several programmatic and research activities focused on key affected populations in partnership with the MOHCC and academic, local and multi-national partners.

Job summary
Working under the supervision of the Finance and Administration Manager, the Procurement Assistant’s primary role will be procurement and purchasing of goods and services in a timely and accurate manner. The incumbent will play a pivotal role in ensuring integrity, fairness, and openness in procurement processes as well as adherence to PZAT policies, ethics, procedures and controls.

Duties and Responsibilities

Key duties and responsibilities
Purchase goods, materials, components or services in line with specified cost, quality and delivery targets; Support the purchasing function and other relevant departments and communicate any supply problems which may impact on business operations; Act as an interface between suppliers and other relevant departments on purchasing processes and new projects and activities; Provide analysis on costs, new and existing and review cost reduction activities; Prepare reports and updates as and when required; Work closely with others in the procurement function and review opportunities for continuous improvement and business improvements; Adhere to any health, safety and environmental policies and procedures to ensure the safety and wellbeing of self, staff and visitors; Negotiate contracts, improve prices and terms of business with suppliers and review opportunities to make business savings utilizing negotiation and procurement best practice tools and methods; Prepare and raise purchase orders and order schedules; Build, maintain and manage supplier relationships and keep up good communications; Ensure that a professional and consistent approach is taken in relation to all supplier relationships; Ensure compliance to company guidelines, purchasing policies and procedures and donor guidance during supplier negotiations and contracts award process; Conduct research for new components and suppliers; Compile data relating to supplier performance to enable evaluation; Assess and evaluate suppliers and contribute to performance reviews to ensure contract compliance; Contact suppliers to resolve price, quality, delivery or invoice issues.

Qualifications and Experience

Qualifications, experience, and key competencies required
Degree in Purchasing and Supply Management/CIPS or equivalent; Good interpersonal and communication skills; 1 year attachment / work related learning experience in Procurement. Experience in the NGO sector will be an added advantage.
