Job Description

Position Summary
The main responsibility of the Procurement and Logistics Assistant (ProLog Assistant) is to ensure correct and effective management and implementation of the DCA Procurement & Logistics Manual and back-donor requirements in projects in Zimbabwe. The duties of the Prolog Assistant are carried out in cooperation and coordination with implementing Partners, DCA Office staff, Finance & Admin Officer(s) and the assigned desk officer in the DCA Procurement & Logistics Unit in DCA HQ in Denmark

Duties and Responsibilities

Responsibilities
Ensure that all procurement is carried out in accordance with the DCA procurement manual and donor requirements at all locations in areas of operation.
Ensure proper procurement documentation are available in separate procurement files. Procurement files shall be created, updated and maintained according to DCA requirements as per the DCA Procurement Manual.
Support in Implementation and management of all types of tender procedures.
Obtain quotations, place orders/contracts to suppliers as per DCA Procurement Manual.
Provide administrative support for project workshops, events, and trainings.
Ensure asset, inventory, stock, and fleet management are carried out in accordance with DCA Logistics Manual, Administration System and donor rules.
Ensure proper storage facilities are in place in all field locations ·
Ensure proper fleet management according to DCA Admind system and DCA Logistics Manual
Provide monthly as well as ad hoc analysis on fleet management (fuel consumption; cost of repairs, etc.).
Provide relevant data/info for monthly DCA reports and donor reports
Taking stock of office supplies and issue purchase requisition whenever stocks are low.
Carry out the daily work diligently and efficiently, respecting deadlines and other colleagues’ workload and priorities
Perform any other duties as assigned by supervisor.

Qualifications and Experience

Skills and Qualifications
A degree in Accounting, Business Administration or related fields; a minimum of 3 years of work experience in general administration, procurement and logistics in NGOs or International agencies; Should be quick in understanding, keen in taking instructions, and able to work with minimum supervision; ability to work in multi-cultural and multi-national environment; excellent skills in written and oral English language; good interpersonal and inter-organizational working experience and collaborating closely with multi-level stakeholders; strong IT skills (strong working experience of spreadsheets); demonstrated ability to work effectively in team situations.
