Job Description

The Operations Support Officer is responsible for providing comprehensive operational support across administration, procurement, payment follow-up, transport coordination, and clinic support functions. The role ensures efficient day-to-day operations, compliance with organizational policies, and uninterrupted support to program and clinical activities.

Duties and Responsibilities

Your Contribution – Key Responsibilities.
• Provides general administrative support, including filing, record keeping, and documentation.
• Maintains accurate records for procurement, payments, transport, and clinic operations.
• Prepares routine reports, correspondence, and operational summaries.
• Supports compliance with organizational policies and procedures.
• Maintains the Asset Register.
• Assists with procurement processes in line with organizational and donor guidelines.
• Obtains quotations, prepares Purchase Orders, and ensures approvals.
• Liaises with suppliers to ensure timely delivery of goods and services.
• Maintains procurement documentation and records to ensure a clear audit trail.
• Tracks invoices, payment requests, and supporting documentation.
• Follows up with finance departments and suppliers to ensure timely payments.
• Maintains payment tracking logs and resolves discrepancies.
• Supports reconciliation of operational expenses.
• Coordinates transport arrangements for staff, goods, and clinic activities.
• Maintains an updated vehicle register.
• Supports issuing, recording, and reconciling of fuel.
• Supports vehicle servicing, maintenance, insurance, licensing, and GPS tracking.
• Liaises with program teams, clinic staff, suppliers, and service providers.
• Supports coordination between operations, finance, and program units.
• Escalates operational challenges and proposes practical solutions.

Qualifications and Experience

What Are We Looking For?
• Diploma or Degree in Business Administration, Logistics, Procurement, Operations Management, or related field.
• At least 2–3 years’ experience in administration, procurement, or operations support.
• Experience working in health programs, clinics, NGOs, or donor-funded projects is an advantage.
