Job Description

We are looking for a qualified and motivated candidate for the position of Office Assistant. The Office Assistant provides clerical, logistical and secretarial support to ensure the smooth running of the office.

Duties and Responsibilities

Key Job Functions:
• Performs secretarial, logistical and operational support by handling tasks like answering phones, managing correspondence, scheduling meetings, maintaining office supplies, organizing documents, and performing data entry to ensure the smooth daily operation of an office
• Handle incoming and outgoing correspondence, phone and physical calls, and emails, consumables, etc.) Are stocked and requisitioned on time, support the scheduling of meetings, appointments, and travel arrangements.
• Maintain filing systems (physical and electronic), ensure office supplies (stationery,
• Support the office with various clerical tasks and projects; and ensure efficient workflows. Safely transport and provide logistical support to the executive team when required.
• Ensure compliance with laws, including safety regulations, and company transport policies.
• Perform any other duties as may be assigned to ensure efficient office operations.

Qualifications and Experience

Requirements of the Job:
The successful candidate for this position should meet the following criteria:
• A Higher National Diploma or degree in business administration, office management, or another related field
• Strong communication skills, proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software, the ability to multitask and prioritize, attention to detail, a customer service orientation, and discretion in handling confidential information
• Clean Class 2 Driver's License, Valid Defensive Driving Certificate (DDC)
• At least 3 years' experience as office assistant, with traceable references.
• Excellent organizational, time management skills and multitasking abilities, strong verbal and written skills, attention to detail, and dependability.
• Knowledge of office equipment (printers, copiers, scanners).
• Attention to detail and commitment to maintaining a clean and orderly office environment.
