Job Description

The following position is vacant within our organization.
MARKETING ASSISTANT

Duties and Responsibilities

Job brief
• Assisting in managing relationships with our agents , DMC’s etc
• Sending Rates and marketing info to all enquiries from the industry
• Assist with input on rates & specials to Jim
• Assist with rate queries from agents , along with T&C’s etc
• Work hand in hand with Res team ref rate queries, T&C’s, specials etc…
• Respond to general marketing enquiries and send necessary info
• Work with Pia & Amy reference design of rate sheets, fact sheets, brochures, posters, fliers etc OR someone who has design experience in Adobe – as this
could work too.
• Work with design team on content for mail shots on mail chimp
• Updating PowerPoint presentations
• Give PowerPoint presentations via Zoom or at actual meetings
• Compilation of agents to see on sales calls to agents in Harare, as well as SA etc – book appointments, flights, accommodation etc
• Conduct necessary sales calls agreed by management
• Follow up to sales calls ie sending agents rates and info, entering info into Mail chimp
• Assist in organising participation at Travel shows, booking stands, flights, accommodation etc
• Making appointments for Travel shows, assisting at said shows & follow ups after shows
• Keeping database in mail chimp updated with new contacts seen at shows, on sales calls and from agents who sign up to agents portal and who request rates
• Sending agent portal log info to agents who enquire
• Brochure participation contracts, ensure updated info sent to agents, send contracts to accounts etc – update list of participations
• Respond to agents requesting site inspections and book with hotel management / guest relations – follow up with agent after site inspection and send info if necessary . Add all agents info to mail chimp
• Respond to famil enquiries pass onto Res to book and advise GM’s and Guest relations – follow up after famil – send necessary info
• Africa’s Eden – ensure correct info on website , ensure that design & PR send articles for news letters
• Africa’s Eden – travel shows & workshops / road shows – submit applications
and also submit contracts to accounts
• Africa’s Eden – submit nominations of agents to invite to shows , follow up after shows with agents met
• Africa’s Eden – ensure hotels included in pre or post itineraries to said show
• ATTA – submit information for their website with assistance from Pia
• Work with UK and USA reps to ensure they have up to date info on hotels , assist with info to agents they introduce us to etc…

Qualifications and Experience

Requirements and skills
- Diploma in marketing or IMM
- IATA
- Knowledge of hotel reservations processes and systems
- Well groomed
- Well spoken
- Good writing and communication skills
