Human Resources Graduate Trainee
(Reporting to the Human Resources Officer)
Training Program Overview
The Human Resources Graduate Trainee is expected to learn and excel in giving administrative support to the Human Resources department to ensure the efficient functioning of the HR Department. The Human Resources Graduate Trainee will provide clerical duties as well as learn the strategic role of HR processes such as recruitment and selection, payroll processing, leave management and performance management.
Employee benefits Management
To learn and excel in timely processing of salaries, through properly capturing all monthly payroll changes on the payroll system. The Human Resources Graduate Trainee under the guidance of the HR Clerk will:
Initiating and facilitating the clearance of staff terminal benefits by department
Ensure the timely processing of payment for both locum nurses and volunteers by Liaising with Provincial Administrators for the timely remittance of payment requests
Completing loan and advance requisitions
Outputs
Proportion of payroll outputs processed timely and meeting the right quality standard
Proportion of payroll with correct cost share captured for processing
Proportion of pay slips produced timeously and acknowledged as accurate by staff Statutory payments
Timeous payment of Medical aid subscription to ensure continued service for employees
Timely processing of terminal benefits
Assist in the recruitment and selection process
Under the guidance of the HRO learn and excel in the recruitment and selection process.
Keep a track record of the whole recruitment and selection to ensure transparency.
Conducting Intern interview recruitments

Effective background checks in accordance to policy requirements
Assist in the leave Management process
Under the guidance of the HRO learn and excel in leave management.
To ensure that the leave days accrued are all taken before the end of each final year. This will be done through
o Preparing Leave reports (Annual leave Reports, Other leave)

Availability of leave management data to facilitate decision making
Performance Management
To learn and excel in performance management under the guidance of the HRO.
Ensuring all line managers/supervisors implement and maintain the performance management system for the purpose of building a result oriented, high performance culture.
Advise managers/supervisors on the appropriate approach to be used in sound performance management including inducting new supervisors and managers on their expectations on managing employee performance.
Ensuring that managers/supervisors have the correct performance management tools e.g. performance setting forms and performance evaluation forms
Coordinate the performance setting process in liaison with departmental heads for all existing employees at the start of the financial year and new employees at the commencement of employment.
Coordinate the performance evaluation process at the completion of the financial year for all employees.
Coordinating probation review for all new employees
Communication to all employees on due dates for performance setting, and performance evaluation.
Documenting performance gaps and recommending relevant performance support in line with budgets e.g. training and development

Office Administrative duties
Under the guidance of the HRO learn and excel in manning Human resources related office administrative duties.
To provide all the administrative duties for the department such as preparing minutes, preparing requisitions, to ensure the smooth running of the HR functions of the organization
Updating all the staff files regularly to ensure that all the files have correct and up to date information about employees.
Audit regularly, and advise the HR Officer of any missing information
Updating the staff electronic database to capture staff movement
Maintenance of all Human resources related files ensuring that files are up to date and information is easily retrievable.
Assist internal and external auditors with information as requested

Relevant degree in Human Resources/Psychology/Management/Social Sciences
Below the age of 26
Knowledge in computer packages
Good written and writing skills
