The Finance and Administration Officer will play a crucial role in supporting the financial management and administrative functions of the organization. This position is essential for ensuring compliance with financial policies, effective budget management and the smooth operation of administrative tasks that support program delivery.
Financial Management:
• Assist in preparing and managing the organization’s annual budget, ensuring accurate forecasting and monitoring of expenditures.
• Process financial transactions in accordance with organizational policies, project frameworks, ensuring accuracy and completeness.
• Prepare monthly, quarterly, and annual financial reports, including variance analysis for submission to management and donors.
• Maintain up-to-date financial records to support audit processes, ensuring all records are accessible and meet audit standards.
• Support the development of financial proposals and budgets for funding applications.
Compliance:
• Ensure compliance with donor requirements and internal policies in financial management, reporting, and documentation.
• Collaborate with external auditors to ensure audit recommendations are implemented effectively.
Administrative Support:
• Assist with office administration tasks such as procurement, asset management, and maintaining records of office equipment and supplies.
• Support human resources functions by managing time sheets, leave tracking, and ensuring compliance with HR policies.
Capacity Building:
• Provide guidance and training to staff on financial policies and procedures to strengthen internal controls.
• Offer support to staff and partner organizations on financial management practices.
Collaboration:
• Work collaboratively with program teams to ensure that financial planning aligns with program objectives.
• Manage logistics for program-related events, workshops, and conferences while coordinating finances effectively.
A bachelor’s degree in accounting
Proven experience (2+ years) in financial management within non-governmental organizations.
Strong understanding of budgeting processes, financial reporting, and compliance requirements.
Excellent organizational skills with attention to detail.
Proficiency in accounting softwares (e.g., Quickbooks).
