Job summary
The Finance and Administration Assistant is responsible for assisting with financial management and administration for the organisation. The Finance and Administration Assistant is expected to assist in providing sound financial advice and effective financial management as well as manage the administrative functions of the organisation.
Responsibilities
Financial Management
Assist in establishing effective accounting and bookkeeping systems and procedures and oversees accounting services; Assist in establishing and implementing internal controls, and administrative systems, policies and procedures to ensure that the organisation’s day-to-day operational activities are efficient and effective, and are in-line with approved strategic initiatives and budgetary allocations; Assisting in the preparation of monthly financial reports for funding partners; Assist in ensuring adequate cash flow for the organization’s requirements, by monitoring funder remittances, and preparing requests for funds as needed; Assisting in preparing and presenting quarterly and yearly financial budgets and cash flow forecasts and to actively monitor and understand budget variances; Assisting in preparing budgets and reports on expenditure for Funders by set deadlines; Assist in performing bank reconciliations, managing bank accounts and keeping track of signing authorities; Monitoring the expenditures to ensure that program funds are utilized appropriately; Ensure that all financial reporting is completed on time and submitted to funders; Follow up and assess acquittals from staff on outstanding supporting documentation submitted
Human resources and administration
Maintains personnel files; Keep a register of organisational assets; Ensure proper management of organisational assets and ensuring that they are insured; Ensure that the organisation is up to date with statutory obligations; Ensure a clean working environment through supervising general staff.
Qualifications
The incumbent should at least have a degree in accounting, equivalent and should be able to use Pastel. A minimum of two-years’ experience in a similar or related position is a must.
