Job Description

The Finance and Administration Assistant plays a critical support role in ensuring the effective financial and administrative functioning of the organization. The incumbent will be responsible for maintaining accurate and up-to-date financial records, ensuring adherence to established accounting standards, organizational policies, and donor regulations. This position facilitates the timely processing of financial transactions, assists in the preparation of periodic financial reports, and supports audit and compliance activities.

In addition, the role contributes to the smooth execution of administrative functions including procurement support, logistics coordination, office management, and basic human resource record-keeping. By providing reliable financial and administrative support, the Finance and Administration Assistant will support the organization to achieve operational efficiency, maintain fiscal accountability, and ensure compliance with both internal controls and external reporting requirements.

Duties and Responsibilities

Finance Duties:
Maintain accurate financial records and bookkeeping (e.g., petty cash, receipts, disbursements).
Assist in the preparation of monthly financial reports and bank reconciliations.
Process invoices, staff advances, reimbursements, and payments to vendors.
Track expenses against budgets and ensure proper coding of expenditures.
Support in audit preparations and ensure all documents are properly filed and accessible.
Ensure compliance with financial policies and donor regulations.

Administration Duties:
Manage office supplies and logistics for meetings, workshops, and travel.
Maintain proper filing systems for administrative and HR documentation.
Provide clerical support, including drafting letters, memos, and maintaining contact lists.
Support HR tasks like timesheet collection, leave tracking, and personnel file maintenance.
Liaise with service providers for smooth office operations.

Qualifications and Experience

Education:
A bachelor’s degree in Accounting and Banking and Finance .

Experience:
Minimum of 2–3 years’ experience in a similar role, preferably in an NGO or nonprofit environment.
Experience with accounting software (e.g., QuickBooks, Sage, or other ERP systems) is a plus.

Skills and Competencies:
Good understanding of financial principles and practices.
Strong organizational and administrative skills.
High attention to detail and accuracy.
Proficiency in Microsoft Office, especially Excel and Word.
Excellent communication and interpersonal skills.
Ability to work independently and manage multiple tasks.
Integrity and ability to handle confidential information.

Preferred Attributes:
Knowledge of donor compliance regulations.
Basic knowledge of procurement procedures.
Fluency in English (spoken and written)
