We are seeking a highly adaptable and self-motivated Executive PA to Managing Director, CABS. The incumbent will provide the highest level of support, including picking up tasks beyond direct administrative responsibilities and taking a keen interest in the subject matter involved. The incumbent must be able to assist a team and manage, anticipate, and resolve issues, juggle priorities, work in a fast-paced and demanding environment and demonstrate an interest and/or aptitude for the broader external affairs environment. Administration & Support
Performs administrative duties for an executive, including presentations, notes and other tasks.
Coordinates resources to gather information and may prepare first draft of various reports.
Prepares presentations with little input from senior.
Communicating and escalating important issues within the business appropriately.
Required to investigate and research various ad-hoc business-issues and developments.
Required to respond timeously and professionally to a variety of client requests and stakeholder requests.
Acts as a first point of contact dealing with correspondence and calls.
Organizes face to face and digital events and conferences, event planning
Ensures senior is equipped with necessary documentation to proceed with meetings.
Relationship Building
Builds and maintains relationships with executives and senior management.
High level of contact with external parties, stakeholders and clients as required.
Communication and Engagement
Prepares documentation on behalf of BU leaders.
Supports the project management of key events on behalf of the BU leader, hosting internal and external guests.

Performs routine administrative duties such as drafting correspondences, scheduling appointments, organising and maintaining data, as well as assisting internal and external stakeholders
Responsibilities
Administration
Produce, update, and provide best practice support on a wide range of Microsoft documents, databases, and other departmental systems.
Business Meetings/Events Arrangement
Schedule appointments, make arrangements for meetings and conferences, and organize travel plans, following instructions to ensure more senior colleagues or a senior executive make the best use of their time.
Correspondence
Prepare routine letters, email, minutes of meetings, and reports for approval by more senior colleagues or a senior executive.
Document Preparation
Prepare moderately complex documents using a variety of applications for technology devices, such as standard office software. Also responsible for gathering and summarizing data for reports.
Work Scheduling and Allocation
Design own monthly schedule and, if necessary, assign work to others in order to speed up office workflow and ensure high-priority tasks get done.
Data Collection and Analysis
Produce accurate reports for others by collecting data from a variety of standard sources and inputting it into standard formats.
Insights and Reporting
Extract and combine data to generate standard reports.
Budgeting
Monitor and analyze data using budgeting systems and protocols.
Personal Capability Building
Develop and maintain excellent process or technical skills by participating in assessment and development planning activities as well as formal and informal training and coaching.
Operational Compliance
Develop working knowledge of the organization's policies and procedures and of regulatory codes and codes of conduct relevant to own work, adhering to mandatory procedures to ensure own work is undertaken to the required standards.
Procurement
Support others by carrying out simple procurement tasks. Involves following established procedures.
Qualifications
Postgraduate Financial or Commercial (or any other relevant) degree plus strong management experience.
Experience liaising at a Senior Management level.
Proficiency in Word, Excel and PowerPoint.
Excellent command of the English language, both in communication ability and in drafting skills.
A self starter, showing strong action orientation, with excellent organizational, planning and prioritizing skills.
Assuming responsibility and accountability for the successful completion of tasks and maintains a high standard of excellence.
Excellent communication skills (written and verbal).
Displays strong attention to detail, high level of accuracy in his/her work and is able to perform under pressure.
Strong project management skills/ability to see projects completed.
Experience in stakeholder management and liaising at a Senior Management level.

A broad understanding of our industry, organisation, products, intermediaries and customers would be an advantage.
