Job Description

We are looking for a vibrant and dynamic individual to fill the above position. Reporting to the Managing Director, the successful applicant will, among other key duties, be responsible for:

Duties and Responsibilities

Key Responsibilities
• Providing sophisticated calendar management for the Manging Director.
• Acting as a liaison and providing support to the Board of Directors.
• Completing a broad variety of administrative tasks including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; and making travel arrangements and completing expense and mileage reports
• Serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Manging Director, including those of a highly confidential or critical nature.
• Prioritizing and determining appropriate courses of action, referrals, or responses, exercising judgment to reflect the Manging Director’s style and organizational policy.
• Working closely with the Manging Director to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
• Acting as a “barometer,” scanning the environment and keeping the Managing Director updated.
• Coordinating all executive team meetings and assisting with staff meetings and events as needed.
• Providing a bridge for smooth communication between the Manging Director and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive team.
• Following up on contacts made by the Managing Director to cultivate ongoing relationships.
• Evaluating and assisting in developing office policies and procedures for improved workflow and anticipating future needs as the organization grows.
• Providing event management support as required.
• Offering hospitality to all guests and helping to create a welcoming environment.
• Answering phone calls and responding to inquiries.
• Undertaking other projects and duties as assigned for the overall benefit of the organization.

Qualifications and Experience

Minimum Qualifications & Experience
• A Degree in Business Administration, Public Relations, Law, International Relations or equivalent.
• 5 Ordinary Level Passes including English Language and Mathematics.
• At least 3 years Relevant experience

Attributes
• Significant executive support experience.
• Expert proficiency with Microsoft Office and desktop publishing software.
• Ability to design and edit graphic presentations and materials.
• Technical proficiency and problem-solving skills related to IT support
• Able to demonstrate professionalism, confidentiality, and discretion.
• Excellent communication skills.
• Excellent organizational and multi-tasking skills.
