Job Description

Applications are invited from suitably qualified and experienced persons for the following post of

DIRECTOR UNIVERSITY SECRETARIAT

The incumbent reports to the Registrar and is responsible for the management of the University Committee System which is meant to facilitate administration of the Vice Chancellor’s targets on University governance.

Duties and Responsibilities

Responsible for the efficient and effective function of the University Result Based Management System
Servicing of major University Committees including Council, Executive Committee of Council, Nominations and Human Resource Committee, Audit Committee, Finance Committee;
Communicating and liaising with University Council in consultation with the Registrar on Council issues;
Facilitating the process of evaluating the University Council;
Management of all the University committees and ensuring that the committee system remains vibrant;
Ensuring that terms of reference as well as membership to committees remain relevant through timeous reviews and production of a yearly University Diary of meetings;
Capturing and streamlining main decisions made by Committees and submitting reports to the Vice Chancellor through the Registrar on implementation of those decisions;
Preparation and submission of monthly reports to the Registrar on performance of committees;
Liaising with Committee Chairpersons;
Attendance to all key University Committees and following up on implementation of Committee resolutions through the use of the decision tracking instrument;
Giving guidance and guidelines to Committee Secretaries on servicing of committees and minute writing;
Ensuring proper record keeping particularly in electronic form through the management of the Minute Database;
Ensuring that all Committee Secretaries comply with best practice standards of servicing committees;
Management of the Secretariat Department and supervision of staff therein;
Any other tasks as may be assigned by the Vice Chancellor and the Registrar.

Qualifications and Experience

Qualifications

Possession of a first degree in English is a must;
A Master’s degree in Arts with a strong background in English; Education degree in English or an Administration Degree with a background in English; or Strategic and Corporate Governance.
Competences and Experience

Applicants should be working or have worked in a similar position or engaged in a job that entailed the responsibilities outlined in this advert;
Demonstrable track record in dealing with strategic and operational management and planning issues;
Ensuring that the culture of meetings pervades at all levels of the University;
Demonstrable understanding of the Result Based Management System
Ability to work with teams and collaborate with internal and external stakeholders.
Possession of oral and written communication skills is a must
