ADMINISTRATIVE ASSISTANT (ADMINISTRATION AND HUMAN RESOURCES)
MAIN PURPOSE OF THE JOB:
The position exists to give support to the Director Administration and Human Resource and all other functions in the department:
Key Responsibilities
1. Calendar Management: Organizing and managing the Director's diary, including setting up appointments, meetings, and conferences.
2. Communication Handling: Screening and handling phone calls, emails, and correspondences for the director.
3. Documentation and Filing: Maintaining and organizing important documents, records, and files related to the Director's Office.
4. Meeting Coordination: Scheduling meetings, preparing agendas, taking minutes, and following up on action items from meetings.
5. Travel Arrangements: Making travel arrangements for the Director, including booking flights, hotels, transportation, and preparing travel itineraries.
6. Correspondence: Drafting and preparing various forms of correspondence such as letters, memos, reports, and presentations.
7. HR Support: Providing support to the HR department by assisting with recruitment processes, onboarding new employees, and maintaining employee records.
8. Administrative Support: Assisting with general administrative tasks such as office supplies management, invoice processing, and other day-to-day administrative duties.
9. Confidentiality: Maintaining confidentiality of sensitive information and exercising discretion in handling confidential matters.
10. Reports: Compiling data, and preparing reports on various HR and administrative issues as needed by the Director.
11. Any other duties as assigned by the Director.
Qualifications
5 O'Levels including English and Maths/Accounts
2 A 'Levels or Equivalent.
Diploma in Secretarial
Degree in Social Sciences or Human Resources related is an added advantage.
At least 2 years related experience in a similar environment.
