Job Description

An established specialist OBGYN clinic is looking for an experienced administrative assistant to support the general administration aspects of the clinic. The Administrative Assistant will be responsible for all administration duties within the clinic and supporting the specialist(s) with the running of the clinic.

Duties and Responsibilities

The duties will include, but not be limited
• Receive clients and patients in a hospitable and courteous manner and direct clients and patients to their intended destinations on the practice or assist them as appropriate
• Enforce Covid-19 and safety protocols for all employees and visitors
• Answer phone calls and take and relay messages as needed
• Housekeeping tasks: Ensure reception area, consulting rooms, bathrooms and kitchen/coffee/ water areas are always kept tidy and that there’s always refreshments
• Communicate with clients and patients, and send reminders for appointments and meetings
• Schedule appointments and maintain the specialist(s)’ calendar
• Schedule and coordinate staff and other meetings
• Prepare communications such as memos, emails, invoices, reports, and other correspondences
• Write and edit documents from letters to reports and instructional documents
• Create and maintain filing system, both electronic and physical
• Compile and prepare documents for medical aid claims, and submit to relevant medical aids
• Follow up on all outstanding payments, with clients for shortfalls and with medical aids for unprocessed payments
• Receiving and receipting money for cash payments
• Prepare orders for supplies and maintain inventory as appropriate
• Manage accounts and perform bookkeeping
• Prepare weekly and monthly reports for the specialist(s) on all aspects of clinic performance
• Perform any other duties as assigned from time to time

Qualifications and Experience

**This list of duties is not exhaustive and may be subject to change as deemed necessary. The incumbent must be flexible and willing to accommodate changes as the clinic evolves.

Qualifications, Knowledge, and Experience
• Degree in Administration or equivalent
• At least one year experience in administration in a medical/clinical/laboratory environment
• Knowledge of medical aid claims submission process
• Familiarity with e-health systems such as 263 system
• High degree of proficiency with Microsoft Office suite
• Excellent interpersonal and communication skills, and the ability to maintain a pleasant and friendly working environment.
• Ability to work under pressure, prioritize, multitask and work long hours
• Ability to work unsupervised and on own initiative, being proactive in their approach to work
• Excellent time management and timekeeping skills
• Ability to work efficiently and effectively with a high degree of attention to detail.
• Must be well-groomed, confident and have a pleasant disposition
