Job Description

The Administrative Assistant will be responsible for providing administrative services as well as implementing administrative systems, policies and operational procedures within the Registry Department of the University.

Duties and Responsibilities

• • Assisting the Faculty Dean in the management of the Faculty Office through information gathering, sorting and dissemination;
• Compiling and maintaining student records in the Faculty Office;
• Servicing the Faculty Board Meetings, Faculty Planning Committee Meetings, Faculty Board of Examiners Meetings and different University Committee meetings;
• Assisting in the selection, enrolment and registration of students in the faculty;
• Monitoring the operation and application of University General Academic Regulations at Faculty level, as well as the implementation of Faculty Special Academic Regulations;
• Compiling comprehensive schedules of the examination results for students in the faculty on a semester basis;
• Monitoring the application of rules and regulations with respect to the appointments and promotion of Academic and Non-Academic staff members in the faculty in consultation with the Human Resources Department; and
• Budgeting and controlling the expenditure of funds allocated to the faculty.

Qualifications and Experience

The incumbent must have a 1st Degree in a related field. A relevant Master’s Degree will be an added advantage. S/he must have least three (3) years post qualification and administrative experience, knowledge of university structures, systems, procedures and operational practices. Computer literacy is a must, especially, working with databases. The post is university wide and requires a person with good interpersonal skills and the ability to work under pressure with minimum supervision.
