Personal Assistant: University of Zimbabwe College of Health Sciences – Clinical Trials Research Centre (UZCHS-CTRC)

University of Zimbabwe College of Health Sciences - Clinical Trials Research Centre (UZCHS-CTRC) is looking for a suitably trained, competent, talented, multi-skilled and qualified Personal Assistant based in Harare.

UZCHS-CTRC is a Centre of Excellence at the University of Zimbabwe College of Health Sciences which implements high level HIV prevention and treatment research and collaborates with a broad range of partners internationally.

Qualifications and experience
Applicants should hold a BA in English/Communication, Business Administration or relevant degree, having minimum of 7 “O” levels including English and Maths plus 3 “A” level passes with a minimum of 9 points; Master’s degree in an admin field will be an added advantage; 5 years experience in a similar position; Excellent organizational, planning and analytical ability with calendar management skills; Exceptional interpersonal communication skills (verbal and written); Experience of working with multidisciplinary teams and detail oriented with great accuracy; Ability to work in a team environment with staff at all organizational levels; Excellent public speaking, presentation, problem solving, and group facilitation skills; Strong work ethic and ability to remain calm under pressure; Competent computer skills in Microsoft Word, Excel, PowerPoint, Access. Any other computer skills will be an added advantage.

Responsibilities
Managing the CTU PI’s office displaying high degree of professionalism in order to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication; Organizing all International and Regional travel using online bookings for air tickets, hotel reservations, ground transport and conference attendance; Setting up a diary for international visitors and coordination of their arrival, transportation and accommodation; Be active on the internet to keep up to date with releases from NIH, grants management and other relevant items; Organising Senior Leadership Group and Senior Management meetings, seminars, workshops, appointments and making available the relevant documentation required for the meetings; Providing comprehensive administrative and logistical support for quarterly and annual regional and international meetings and conferences; Maintaining confidential documents and ensuring that the filing system is done in an orderly and secure manner; Adhering to all policies and procedures regarding the CTU PI office; Providing ad hoc administrative support for the Admin Department and/or CRSs where required; Performing any other administrative duties delegated by the CTU PI and Senior Leadership Group.
