Under the supervision of the Finance Manager the Intern will carry out the following duties: Assist in the implementation of finance policies, procedures and systems; Ensure compliance with IRC procedures and guidelines; Cashiering which includes disbursement of payment; Participate in weekly and monthly cash counts; Review spreadsheets from field sites before uploading to SUN Accounting System; Give feedback to Field Finance offices regarding their monthly templates/ reports; Assist in grant budget preparation and updating of the Operating Budget; Generating T2 Codes on new Grant Budgets and uploading grant Budgets into SUN System; Focal person for BvA System including new staff training and follow up training on new BvA System production releases; Ensure Cash Transfer and Voucher Programming SOPs are adhered to specifically on finance systems and procedures; Prepare cash transfers’ and vouchers’ reconciliation for Cash Transfer and Voucher Programming implementation and keep file and track records on payments and monthly signed beneficiary lists; Compile monthly VAT refund schedules for USG funded grants; Circulate the advance register on a weekly basis; Produce monthly and quarterly internal and donor reports for review by the Finance Manager; Perform pre-audit checks for Donor and Statutory Audits; All other duties assigned by Finance Manager
Prior to filing ensure that all payment documents have been stamped 'PAID'; Maintain an organized and well-documented (all files must be labeled properly and visibly) and sequential filing system for all cash disbursement vouchers; Archiving of prior years’ finance documents as instructed by the Finance Manager.
Skills and Abilities
Ability to carry out responsibilities independently with minimal technical support; Good communication skills that function across a diversity of cultures; Good at role of facilitator and team player in solving problems.
Qualifications and Experience
Bachelor’s degree in Accounting or Business related degree from recognized College/ Institution or Student from a locally or internationally recognized tertiary education institution looking for an industrial attachment; Computer literate with significant experience in excel, accounting package knowledge (SUN system) will be an added advantage.
