Job Description

Applications am invited from suitably qualified, experienced, self-motivated and task oriented individuals to fill the above position that has arisen within the Chamber Secretary's Department

Registry Supervisor: Grade 7

Duties and Responsibilities

The incumbent will be reporting to the Administration Officer and will be responsible for:
o Managing day to day operations of the registry; monitors work flow, data accuracy and overall quality.
o Assuring processes and procedures am accomplished according to established guidelines and regulations; analyses processes and makes recommendations for changes; implements change upon approval.
o Manages and supervises registry personnel, assigns priority work, reviews work in progress
o Assures compliance with legal guidelines for release of information
o Indexing files for reference
o Organizing disposal of correspondences and outdated documents no longer in terms of standing policy
o Dealing with confidential minutes and Council documents
o Any other duties as may be assigned from time to time.

Qualifications and Experience

MINIMUM EDUCATION AND EXPERIENCE REOUIREMENTS
o A Bachelors Degree in records management systems, library and information science or any related degree from a recognized institution plus 2 years' relevant working experience; or
o FIND in records management systems, library and information science or any related qualification from a recognized institution plus 3 years' relevant working experience
o Experience in a local authority will be an added advantage
o Possession of all of the above will be a distinct advantage

Key competencies
o Knowledge of modern office administration, computer information systems, techniques of supervision and employee development; business English, correspondence formats and composition.
o Knowledge of computer operations and software applications
o Ability to communicate effectively.
o Ability to work effectively, both independently and within a team.
o Ability to provide leadership and direction to subordinates, establishes priorities, organize and assign tasks.
