Job Description

Applications are invited from suitably qualified and Experienced Candidates To Fill The Following Position Of Records Manager/Archivist that has arisen within the University of Zimbabwe, Main Library.

The Records Manager/Archivist will provide access to accurate records for a range of operational and strategic purposes, as well as ensuring that legal obligations for the creation and retention of University of Zimbabwe records are met. To proactively develop and support a culture of high quality records management practice across the University.

Duties and Responsibilities

• To lead the development of the University Records Management systems which provide staff and students with guidance on legislation and records management practices through training provision, websites and databases to support the University's response to Education 5.0 and to deliver best practice business benefits.
• To develop and implement the policy framework for the management of the University of Zimbabwe's records and archives across the entire lifecycle.
• To advise staff in all departments on the creation, usage and management of both electronic and paper based records and information
• Monitor compliance with records retention schedules and update schedules as needed to support legal and regulatory requirements, university policies, and archival best practices.
• To provide capacity building training to staff that have responsibility for creating and managing records
• To receive, store, accession, catalogue and manage non-current records and archives from all branches and operational departments and units of the University.
• To preserve the University's institutional archives including photographs, electronic data, film clips, sound and digital recordings
• To establish and administer policies governing access and use of archival materials and deal with inquiries and requests for information from both internal and external clients
• To create finding aids including computer databases, incorporating current advances in electronic information storage technology to facilitate access to the archival collection.
• To produce publications based on the archives collections, e.g. to commemorate special events of the University
• To maintain the environmental conditions necessary for the preservation of records and archives, ensure the security of the records and archives collections and represent the University at professional meetings and conferences.
• To ensure that University Records Management approaches and practices remain up to date and consistent with sector and industry best practices.

Qualifications and Experience

• A degree in Records Management, Archives or Library and Information Sciences
• A relevant Master's degree would be an added advantage
• A minimum of five years' experience work with records and archival collections including familiarity with registry operations as well as archiving operations
• Highly developed computer skills including Internet and database technologies
• Experience of providing management information using reporting tools, web applications and spreadsheets to Senior Management
• Develop and review Records Management Standard Operating Procedures
• Have good oral and written communicate skills
