Job Description

Program Administrator x1: Zimbabwe Technical Assistance, Training and Education Center for Health (Zim-TTECH).

About the organization:
Zim-TTECH is seeking highly qualified and experienced applicants to fill the position of Program Administrator, based in Bulawayo. Zim-TTECH's activities occur primarily in the technical areas of health system strengthening; health workforce development; operations research and evaluation; prevention, care and treatment of infectious diseases. Zim-TTECH is funded by PEPFAR through the Center for Disease Control to implement HIV & TB treatment and care services in five Zimbabwean provinces in support of the Ministry of Health and Child Care (MoHCC) under the Zim-PAAC (Zimbabwe Partnership to Accelerate AIDS Control) program. The contract of employment is for 11 months from 01 November 2020 to 30 September 2021 and is renewable subject to availability of funding and satisfactory performance of the candidate.

Position Summary
The position exists to manage program activities and other related administrative aspects. The successful candidate will report to the Operations Manager.

Duties and Responsibilities

Responsibilities
Receiving, tracking and filing approved work plans for all the provincial and district Focal Persons. Receiving, reviewing and processing perdiem claims and reimbursements. Receiving, reviewing and processing proposals for meetings, trainings, support and supervision visits from districts and provinces. Processing of district outreach and moonlight proposals. Preparation and submission of financial reconciliations after all activities. Organising and coordinating trainings, site support and community linkage activities and visits, meetings and conferences. Establishing networks and relationships with essential vendors and partner organisations (MoHCC, Funding and Implementing Partners etc). Working closely with grant technical staff to ensure the quality and timely production of all training materials, identifying vendors and carrying out quality control measures on all materials produced. Creation and maintenance of a schedule of all activities of the program. Coordinating and managing front office operations including the switchboard and attending to visitors. Performing general clerical duties (photocopying, faxing, mailing, filing etc). Managing boardroom usage. Receiving, securing and issuing stationery. Manage and maintain all office assets. Supervise canteen and housekeeping staff. Ensure office security is maintained. Work closely with the contracted security guards. Proper and accurate filing of documents. Produce monthly reports. Performing any other duties as assigned by the Operations Manager.

Qualifications and Experience

Qualifications, Skills and Experience
Degree in Administration/ Secretarial studies or equivalent. 5 years’ experience working in NGOs organising, coordinating meetings and training activities. Experience in stock management is an added advantage. A clean class 4 driver’s licence. Proficiency and experience in MS Word, Excel, social networking, use of tablets and Apps. Demonstrable knowledge and understanding of Ministry of Health and Child Care structures and in working with different vendors and hotels. Must be an effective communicator and able to work under intense pressure with minimum supervision.
