Job Description

Our client is a legal practice based in Harare with a vibrant and dynamic team, seek the services of a legal secretary / receptionist who is professional, competent and a self – starter. Must be well spoken and eloquent with verbal speech.

The incumbent will be responsible for providing all administrative support for the legal practitioners, meeting and greeting clients; file management and archiving of files. The role includes but is not limited to the responsibility of writing certain legal documents, dictation, drafting of pleadings as well customer care. The candidate should be well organized, well groomed, self motivating and possess a ‘can – do’ attitude.

Duties and Responsibilities

• To undertake the timely preparation of correspondence and documents though dictation and word processing, 
transcription and typing with speed
• Dealing with clients, contacts and third parties by telephone, e-mail or in person, as necessary

• To have an ability to type legal and other documents quickly with grammatical accuracy and minimal supervision
• To undertake file management in particular daily filing, the opening and closing of files and retrieval of client files in accordance with the detailed procedures of the firm

• To make appointments and maintain the Managing Partner’s and associates diary dealing with 
matters arising and minute taking.
• To attend to clients both in person and on the telephone and to provide such support in a 
professional and friendly manner in keeping with the firm’s ethos and customer care 

• To ensure the confidentiality of all the firm’s and clients’ personal and official documentation and information 

• To provide support to other members of the legal team and secretaries within the requirements of the firm 

• To ensure that practitioners record their time and undertake billing as deemed appropriate

• To have the appropriate skills or ability to acquire and develop personal skills in order to undertake matters with minimal supervision as per instruction 

• To provide guidance and leadership to temporary staff when required

• To be capable of undertaking debt collection in a professional manner

Qualifications and Experience

• To have knowledge and experience of Microsoft software applications and related software applications
• To be proficient at processing, presentations and database management
• Preferably should have working knowledge of legal procedures and legal terminology
• To have knowledge of administrative and clerical procedures
• Highly organised individual with knowledge of working in a law firm

• To be proficient in verbal and written communication skills in English and
vernacular
• To have attention to detail
• To have an ability to maintain confidentiality of the firms files and clientele
• To be a highly organised individual with the ability to multi task
• To ensure that there is a high level of information management
• Must posses a high level of integrity, initiative, decision making and an ability to
work well under pressure

Relevant qualification
Experience in a law firm preferable
