Job Description

File Archivist x150: Zimbabwe Technical Assistance, Training and Education Center for Health (Zim-TTECH).

Zim-TTECH is seeking highly qualified and experienced applicants to fill the vacancy of File Archivists within five Zimbabwe provinces viz Harare, Mashonaland East, West, Central and Matabeleland North. Zim-TTECH's activities occur primarily in the technical areas of health system strengthening; health workforce development; operations research and evaluation; prevention, care and treatment of infectious diseases. Zim-TTECH is funded by PEPFAR through the Center for Disease Control to implement HIV & TB treatment and care services in five Zimbabwean provinces in support of the Ministry of Health and Child Care (MoHCC) under the Zim-PAAC (Zimbabwe Partnership to Accelerate AIDS Control) program. The contract of employment is for twelve (12) months effective 01 October 2020 to 30 September 2021 and is renewable subject to availability of funding and satisfactory performance of the candidate.

The main objective of the File Archivist is to provide site-level support to ensure all patient files are available and organised in cohorts. The Archivists will work closely with DECs, DSDs and MOHCC staff to enable proper updating of files for clients receiving resupplies and also sorting of files by client status, i.e. active, defaulters, LTFU, dead, transfer out and virally unsuppressed or suppressed. The Archivists will work in collaboration with the clinicians’ support facilities to make sure all results are recorded in the client files to enable use by the program. They will report to District Strategic Information Officers.

Duties and Responsibilities

Arranging client files in proper cohorts to enable efficient and consistent identification of client files whenever needed; Pulling files a day before a Client’s visit for handing over to attending clinician and doing it on an ad-hoc basis for Clients who would have visited the facility on a day other than their appointment date; Ensuring all Client files are properly filed post review by clinician and that all results are properly recorded in the Client file; Ensuring all Clients due for appointment are documented in the appointment diary and updated as they come for review; Assisting clinicians to identify client files that need attention, i.e. due for viral load, defaulters, unsuppressed clients and transfer out clients; Ensuring that files are identified by the correct color sticker pertaining to VL status for easy identification; Helping in the compilation of Clients who would have missed appointments for follow up on the following day; Ensuring clients needing EAC are booked correctly and files filed separately for ease of access; Working closely with Community Health Workers (CLFs, ZM, TPT champions, ETC) to ensure prompt tracking of Clients due for tracking, and to ensure that feedback from CHWs is updated in the green files; Supporting inter district/province folders reviews and helping facilities to do quarterly client file audits; Assisting in the implementation and maintenance of DSD models at facilities; Attending review meetings according to the Zim-TTECH calendar and as budget permits.

Qualifications and Experience

Qualifications, Skills and Experience
Certificate in Records Management and five “O” level passes including Mathematics and English, a diploma in Records Management will be an added advantage; Health-related background with relevant health facility-based experience of at least 2 years will be of more preference; Computer skills including but not limited to, MS Excel, Word and MS PowerPoint; Good inter-personal skills and demonstrated ability to work independently as well as collaboratively; Experience in working with MoHCC and/or implementing partners in health-related programs and a strong understanding of the Zimbabwe health care system structures.
