Job Description

The job holder is responsible for assigning and directing all work to be performed in the branch and to supervise all areas of operation.

Duties and Responsibilities

Business Growth
A manager's prime responsibility is to lead the organization to success. His actions should all be poised toward business growth. Managers are there to run daily operations, coach employees, maintain quality control and ensure that its products and services are fulfilling customer needs.
Customer Care
• Always communicate courteously with customers by telephone, email, letter and face to face.
• Look for new customers and also maintaining both new and existing customers by keeping good relations.
• Proper handling and solving of the customer complaints and problems
• Ensure timeous delivery of customer orders.
• Know your market and its requirements.
Cashing up, Banking and Petty cash
• Daily sales cash up must be done strictly by the manager and the report must be send to appropriate people while attaching the receipts journal, sales journal ecocash receipts and swipe receipts. Also any variance must be communicated.
• Daily cash sales receipts must be banked every day before 0900hours
• The manager must authorise all petty cash expenses and check on all reimbursements before submitting the HQ.
• The manager must ensure that petty cash funds are always available; thus reimbursed must be done on time.
• The manager must ensure that cash has been safely locked up in safe.

Stocks
• Ensure that all materials are properly stored and that accurate and appropriate levels of inventory are maintained in order to meet customer demand.(no stock outs place adequate orders on time)
• Monthly stock takes.
• Avoid pilferage; security and proper handling of stocks.
• Make sure insurance is in place and stock levels are below the insured value. (liaise with the Finance manager).
Stationery
• Ensure that your branch has adequate stationery to use
I. Till / Ecocash receipt rolls
II. Bond Paper
Licensing
• The manager must make sure that the following licences are in place and are displayed at the shop front.(liaise with operations manager)
I. Shop licensing
II. Motor Vehicle
III. TV licensing
Rentals and Bills
• Ensure are your bills and rentals are full paid on time
I. Shop Rental (liase with admin & accounts)
II. Zesa
III. Water
IV. Internet

• Each of a manager's employees should be scheduled for an initial orientation and for any subsequent training required to perform his job.
• Ensure that all your employees have got adequate resources to perform their duties.
• He must evaluate the employee's progress on a regular basis and determine whether additional training is needed.
• It is also the responsibility of the manager to note employees who are candidates for promotions or advanced positions within the company.
• Managers must also make the decision to terminate an employee unable to satisfactorily perform his job or who blatantly breaks company rules.
• The manager oversees his staff, ensuring they are trained properly, follow company guidelines and policies, perform the job satisfactorily and receive feedback on a regular basis i.e. employees must be in proper uniforms and are aware of our code of conduct.
Communication
• Communication is one of the most important responsibilities of a manager to keep the workplace running efficiently.
• Employees need to know the mission and goals of the business and what is expected of them to achieve those results.
• Managers must have the ability to comprehend directives from upper management and to then translate them to staff so that everyone is on the same page.
• A manager's communication responsibilities may also entail resolving conflicts, motivating employees, speaking to the public on behalf of the company and preserving customer relationships
Meetings and Reports
• Every manager is entitled to attend monthly management meeting done on the first Monday of every month.
• Managers should submit the following reports
I. daily sales report
II. weekly report
III. monthly report
Security
• keys must be handled by authorised persons
• Shop must be opened and closed in the presence of two more people
• Shop must be opened at 08.00hour and closed at 17:30hrs
• Orders to be received and dispatched accurately
• Make sure your shop alarm is working and plug on at day end
Sage Evolution
• Make sure the system is always up and running
• Make sure the invoices and receipts are done in the correct period.
Other Operations
• Make sure that the shop is always clean; stocks must be properly arranged and packed.
• All the documents must be properly file and kept safe
• Fire extinguishers must be serviced and the certificate must be send through to HQ (to operations manager)

Qualifications and Experience

Degree in retail management/ business administration/ any other related field
at least 3 years experience in the same or similar position
